Short, specific, and about them.

  • The trigger, named. You saw the new branch, the move, the expansion.
  • One line of evidence: type of space, rough size, how long handover took. Describe the project, not the customer.
  • One question they can answer in a sentence, usually about timing.
  • An offer of a site visit, with WhatsApp as the easy way to reply.

Company profiles and certificate scans do not belong there; attachments give a busy operations manager something to postpone. Count conversations started, site visits booked, site visits held, and quotations that became a signed contract. Read them as a chain and repair the first broken link. Few conversations means stale targeting. Conversations without visits means the message asked for a quotation instead of a visit. Visits without quotations means the qualifying skipped the budget holder.

What this will not fix

Outreach fills the top of a funnel; it cannot repair what happens after the site visit. It will not fix a quotation that takes two weeks to come back, and in fit out that turnaround is itself an advantage, because the client is holding a handover date and a rent free period already ticking.
